Microsoft Authenticator
Before you can access your work email or Microsoft 365 apps, you’ll need to set up the Microsoft Authenticator app on your phone.

What is Microsoft Authenticator?
Microsoft Authenticator is a free mobile app that helps protect your account by verifying your identity when you log in.
Instead of just using your password, it adds a second step — like a prompt or code — to confirm it’s really you.
Once it’s set up, you’ll use the app to approve sign-ins to Microsoft 365 apps like Outlook, Teams or OneDrive.

Why multi-factor authentication matters for your business
Passwords alone no longer provide enough protection for business accounts. Credential theft is one of the most common entry points for cyberattacks in Australia. When an attacker gets hold of a password, MFA stops them from using it — because they would also need access to your phone to approve the sign-in.
The Australian Cyber Security Centre (ACSC) includes MFA as one of the ACSC Essential Eight controls. For businesses handling client data, financial records, or health information, MFA is not optional — it is a baseline security requirement.
Microsoft Authenticator satisfies MFA requirements across all Microsoft 365 apps, including Outlook, Teams, SharePoint, and OneDrive. Once set up, sign-in takes an extra few seconds and significantly reduces the risk of an account being compromised.
Common questions about Microsoft Authenticator
Do I need to use Microsoft Authenticator, or can I use a different app? Your organisation may allow other authenticator apps or SMS codes. Microsoft Authenticator is recommended because it supports numberless push notifications, which are faster and more secure than one-time codes.
What happens if I get a new phone? You will need to transfer your accounts before switching phones, or set up Authenticator again on your new device. All IT can help with this during a device migration or upgrade.
I got an unexpected Authenticator prompt. What should I do? Deny the request and change your password immediately. An unexpected prompt means someone else has your password and is trying to sign in. Contact All IT if this happens — it may indicate your credentials have been compromised. Contact our team or call 1300 425 548.
