How We Work With You
A proven, six-step process for hospitality groups, not-for-profits, and financial services firms that want technology that works — and an IT partner that takes ownership of it.
We meet you where you are. Then we make it better.
Most IT providers onboard you once and hand you a helpdesk number. Our process is built differently — each stage has a clear output, and the work doesn't stop when support starts. We own your technology end-to-end, from the first conversation through to long-term strategy.
We schedule work outside your peak periods. We coordinate with your vendors. When something breaks, we take the call and stay with it until it's resolved. You don't need to translate IT problems into business language — we handle it end-to-end and explain what's happening in plain terms.
The six steps below aren't sequential checkboxes — they're an ongoing cycle. After Deliver comes the next round of Assess, as your business evolves and your technology needs to evolve with it.
Assess
We understand your priorities, operations, and where you're heading. Before any changes, we take the time to learn your business — how you operate, what matters most, and what's getting in the way.
This includes a conversation with your leadership team and, where needed, your existing IT staff or vendors. We're not looking for problems to fix yet — we're building the context that makes everything else more effective.
Baseline
We document your current state, identify gaps and risks, and agree on targets. This is where we map your infrastructure, access controls, licensing, vendors, and security posture — including the things you may not have known were there.
You leave this stage with a clear, written picture of your environment and a prioritised list of what needs to change, in what order, and why.
Strengthen
We secure devices, harden access controls, and lift compliance readiness. The highest-risk gaps identified in the Baseline stage are addressed first — patching, MFA enforcement, endpoint protection, and Essential Eight alignment.
For clients in regulated industries, this stage also covers sector-specific requirements: PCI DSS for hospitality, ACNC data governance for not-for-profits, and ASIC-aligned controls for financial services firms.
Optimise
We tune performance, improve productivity, and align cost with value. Unused licences, overlapping tools, slow workflows, and unnecessary complexity are identified and resolved — so your technology investment works harder without costing more.
This is also where we connect your technology stack to how your teams actually work, and set up day-to-day support through chat in Microsoft Teams or Slack.
Align
We plan consultatively around your business goals and priorities. Technology decisions are tied to your roadmap — new sites, headcount changes, compliance obligations, and growth plans — rather than driven by vendor agendas or what's convenient for us.
This happens in your regular vCIO sessions, where we review real data from your own environment and make decisions about what to invest in, what to replace, and what to defer.
Deliver
We implement projects and manage change without disrupting operations. Work is scheduled around your trading hours, coordinated with your vendors, and handed over with full documentation — so your team knows exactly what changed and why.
After Deliver, the cycle continues. We return to Assess with new data and an updated understanding of your business, and the process strengthens your environment continuously over time.
Two Things Every Client Gets
A curated technology stack chosen for your environment, and day-to-day support where your team already works.
Platforms chosen for your environment — documented in full
We publish every tool we use and why. No hidden dependencies. Your stack is selected to match your scale, industry, and risk profile.
- Microsoft 365 for productivity, identity, and collaboration
- Huntress for 24/7 endpoint detection and response
- Datto for business continuity, backup, and ransomware rollback
- HaloPSA for ticketing, time tracking, and reporting
- Cisco Meraki for managed network infrastructure
- Proofpoint for email security and anti-phishing
- IT Glue for secure, searchable documentation
Support where your team already works — Teams or Slack
No portal to log into, no ticket number to quote. Type the issue, a technician replies in the same thread, and the conversation becomes a ticket automatically.
- Chat support directly inside Microsoft Teams or Slack
- Screenshots and files attach to the message
- Every chat becomes a tracked ticket automatically
- Context travels with the request — no repeating yourself
- Phone and email remain available for the right situations
- Australian service desk — your time zone, your documentation
- Unlimited support — more requests don't mean more cost
Regardless of Your Stage, Plan, or Size
No lock-in contracts
All our managed service agreements are month-to-month. We earn your business through delivery, not clauses. If we're not meeting expectations, you're free to leave.
Total ownership
We take full responsibility for your IT — daily support, vendor coordination, security, and strategy. We don't hand problems back. We stay with them until they're resolved.
Industry specialisation
We work with hospitality groups, not-for-profits, and financial services firms. We know your regulations, your vendors, and your operating pressures — they're built into how we work.
Transparent reporting
Response times, resolution rates, and open issues — in writing, every quarter. We'd rather show you numbers that make us accountable than publish SLAs we don't track.
Security by default
Essential Eight alignment, SMB1001 certification, continuous endpoint monitoring, and security awareness training are part of every engagement — not optional extras.
20 years of experience
Operating since 2005 across Sydney, Brisbane, Melbourne, and Orange. Many clients have been with us through new site openings, mergers, and regulatory shifts. They stay because the service is reliable.
What Clients Ask Before They Start
How long does the full process take?
The initial Assess and Baseline stages typically take two to four weeks. Strengthen and Optimise run over the first 30 to 90 days depending on the size and complexity of your environment. Align and Deliver are ongoing — they happen in cycles, tied to your quarterly vCIO reviews and project roadmap.
Do we have to change our existing tools or vendors?
Not necessarily on day one. We review your existing stack during Baseline and flag where tools are creating risk, duplication, or unnecessary cost. Changes are prioritised and budgeted into your roadmap — we don't rip and replace things that are working.
What does "no lock-in" actually mean?
All our managed service agreements are month-to-month after the initial term. There are no early exit fees for support services. If we're not delivering, you're free to leave — and that's exactly the accountability we want you to hold us to.
Can you support businesses with multiple sites?
Yes — multi-site support is one of our core strengths, particularly for hospitality groups operating across several venues. We manage networking, security, POS systems, and telephony across distributed locations with centralised monitoring and reporting, backed by on-site support through our offices in Sydney, Brisbane, Melbourne, and Orange.
What happens at a vCIO review?
We bring your ticket data, infrastructure performance, upcoming licence renewals, security posture, and any risks flagged through monitoring. Together we decide what to fix permanently, what to budget for, and what the technology roadmap looks like for the next 12 months. It's a working session built on real data, not a generic slideshow.
How do we switch from our current IT provider?
We manage the transition. That means documenting your environment, coordinating with the outgoing provider to retrieve assets and credentials, and making sure nothing falls through the gap between providers. Most clients notice the switchover only because things start working better.
